What information to provide when an employee leaves

Objective

Request a controlled phone-service change when an employee leaves the organization.

Include this information

  • Company, location, requester, and callback number
  • Departing employee's name and extension
  • Requested effective date and time
  • Whether calls should forward to another user, queue, voicemail, or auto attendant
  • Who should receive existing and new voicemail messages
  • Whether the phone number, SMS history, shared SMS access, or fax access must be reassigned
  • Call queues, ring groups, paging groups, and shared lines that should be updated
  • Whether the desk phone will be reassigned, stored, or returned
  • Replacement employee details when known

Do not erase or discard a phone before confirming whether it will be reassigned. Do not email the departing employee's password or voicemail PIN.

Verification

After the effective time, test the former extension and business call flow. Confirm that calls and voicemail reach the approved destination.

Expected result: The departing user's calling access is handled and business communications continue at the approved destination.
