Phone Features

Basic Setup 

Each phone comes programmed with:

  • 2 or 3 Line Keys

  • 2 or 3 Park Keys

  • All other extensions in the system (if applicable or unless otherwise requested)


Call Park

Parking spots are shared holds. When a call is placed on a parking spot that call can be picked up from any other phone as all phones will display which parking spots are busy or free. To place a call in a parking spot:

  1. Press one of the Park buttons on the phone

Some phone models do not have buttons that are programmed as park buttons. In this case:

  1. A system prompt will advise which parking spot the call has been placed in, please take note of this. Afterward, press Transfer again then you may hang up.

The call will sit on hold until someone picks it up. To pick up the call from a parking spot, press the parking spot button that you wish to answer, or by dialing *71 followed by the parking spot number. For example, *712 would pick up a call from parking spot 2.


Extension Keys

All the other extensions are already programmed into the phone configuration. These keys will be red if that extension is busy or on a call. Pressing the button for an extension will dial out to the extension.  If not all extensions are visible on the screen, press the 1/2 or + More button on the lower right of the screen to display more extensions.


Directory

The directory can be used to store contacts. Keep in mind that any contacts stored on one phone will only appear on that phone and must be entered individually for each phone. 

Intercom Feature


The Intercom feature can be used to instantly connect two extensions via speaker phone. You can use the feature by pressing the ICOM button on the bottom of the screen or by dialing *1 followed by the extension number. When you press this, you can either choose one of the extension buttons that are already programmed or you can manually dial the extension number that you wish to connect to. This feature instantly connects both extensions with 2-way audio. If the extension is currently on a call, the 2 parties will not be connected and a busy message will be displayed to the initiating party.


DND

The DND button will enable the Do Not Disturb feature. When enabled, the phone will display either a red circle (phones with a color screen)  with a line through it or DND in a rectangle (phones with a black and white screen) at the top of the screen. All incoming calls will be denied and the caller will get a busy tone. This is very easy to enable by accident and can be a common cause for issues with incoming calls. Pressing DND will disable the feature.


Call History

Call history can be accessed two ways: 

  1. Press Menu, then History or

  2. Press the Up arrow while on the main screen

You can filter the history by Missed Calls, Placed Calls, Received Calls and Forwarded Calls. All missed calls are displayed in red. Note: any calls that are not answered on that specific phone will be classified as a missed call. This does not necessarily mean that the call was not answered, just that the call was not answered on that phone. A missed call notification can be seen at the top of the main phone screen. In order to clear this notification, access the history menu. When you return to the main screen, the notification will have disappeared.

Basic Call Features

Placing a Call

Using the handset: 

  1. Pick up the handset

  2. Enter the phone or extension number

  3. Press #, OK or the Send soft key

Using the speakerphone:

  1. Press the speaker button

  2. Enter the phone or extension number

  3. Press #, OK or the Send soft key

Using a headset

  1. With the headset connected press the headset button to activate headset mode

  2. Enter the phone or extension number

  3. Press #, OK or the Send soft key


Answering a Call

Using the handset:

  • Pick up the handset

Using the speakerphone

  • Press the speakerphone button

Using the headset:

  • Press the headset button


Ending a Call

Using the handset:

  • Place the handset on the phone or press the End soft key

Using the Speakerphone:

  • Press the speakerphone button or press the End soft key

Using a headset:

  • Press the End soft key


Redial

  • Press the Redial button to open the Placed Calls list. 

  • Press the Redial button twice to place a call to the last dialed number


Call Mute

  1. Press the Mute button on the phone while on a call. It will light up red indicating that the mic has been muted

  2. Press the Mute button again to un-mute


Placing a Call Hold

  1. Press the Hold button or soft key during an active call to place a call on hold

  2. You can resume the call by pressing the Hold button (only if there is only one call) or by pressing the Resume soft key.

Note: If there is more than one call, select the desired call on the screen first then press the Resume soft key. 

Note: Hold is exclusive to each phone. Use the Park feature to pick up on another phone.

Transferring a Call

Blind Transfer:

  1. Press the Transfer button or the Transfer soft key during an active call. The call is placed on hold.

  2. Enter the number you want to transfer to (can be an extension or outside number)

  3. Press the Transfer button or the B Transfer soft key


Semi-attended Transfer:

  1. Press the Transfer button or the Transfer soft key during an active call. The call is placed on hold.

  2. Enter the number you want to transfer to then press the Send soft key

  3. Pres the Transfer button or the Transfer soft key when you hear ringing


Attended Transfer:

  1. Press the Transfer button or the Transfer soft key during an active call. The call is placed on hold.

  2. Enter the number you want to transfer to  and then press the Send soft key

  3. Press the Transfer button or Transfer soft key when the second party answers or use the End soft key to return to the original call


Transfer to Voicemail:

  1. Press the Transfer button or the Transfer soft key during an active call. The call is placed on hold.

  2. Dial the mailbox number followed by * the press the Send soft key

  3. Press the Transfer button or Transfer soft key once the mailbox recording begins playing


Forwarding All Calls

  1. Press the Menu soft key when the phone is idle

  2. Select Features then Call Forward

  3. Select the desired forwarding type

      • Always Forward - Incoming calls are forwarded unconditionally

      • Busy Forward - Incoming calls are forwarded when the phone is busy

      • No Answer Forward - Incoming calls are forwarded if not answered after a set period of time

  4. Enter the number you want to forward to (can be an extension or outside number)

  5. Press the Save soft key to accept the change


Call Conference

  1. Press the Conference soft key during an active call. The call is placed on hold.

  2. Enter the number of the second party then press the Send soft key

  3. Press the Conference soft key again when the second party answers. The calls will merge.

  4. Press the End soft key to disconnect all parties.
